We are looking to work together with our patients to understand your views and help us improve our service to you and find out how you perceive our surgery and staff.
We are looking for patients to join our Patient Participation Group. We would like to have a group that reflects all the patients therefore we are asking that you consider yourself to join our PPG your view does matter to us.
Please contact Charmaine Mullins who is the PPG coordinator and she will gladly explain how the group works.

What is the The Green & Fir Rd Surgeries Patient Participation Group?
The Green & Fir Road Surgeries PPG (Patient Participation Group) is a group of eleven patients from the practice. The group was originally formed in the 2012-2013 with the aim of providing improved communication between the practice and its patients.
The group currently consists of eleven patients. The group is made up of 36% male & 64 % female. The group’s age range is <16-34yrs 0% 35-44yrs 9.09% 45-54yrs 27.27% 55-64yrs 27.27% 65-74yrs 18.18% and over 75yrs 18.18%. The ethnicity of the group is 100% British.
We are very keen to broaden our membership to fully reflect the diversity of our practice population, so if you would be interested in joining, please do let us know by completing the form available at reception or alternatively you can find details on our website www.thegreenandfirroadsurgeries.co.uk.
(We hope that the group will meet up around 4 times per year for approximately for one to two hours on a weekday evening, so it should not be an unduly arduous commitment)
What has the group done so far?
This year the group has met three times and had alternate venues so as to make attendance for the group members as easy as possible. We have worked together on three areas by mutual agreement. Our first area was how we could attract more members to join the PPG an action plan item from the previous year. We agreed that a poster and a designated area on the notice boards in the waiting rooms might help. The Practice produced a poster which invited patients from all walks of life to join as their input would be appreciated. This campaign has managed to increase the group by 50% which is a very good outcome.
Our second joint area was patients that waste practice appointments by not attending; these are known as DNA’s. The practice produced the amount of wasted appointments between January – June 2014. The PPG decided that to have a notice informing patients of the amount of wasted appointments in the waiting rooms might remind patients to be more mindful and cancel appointments in a timely manner and not waste them. The group also decided that for persistent DNA offenders the Practice Manager should contact them directly and remind them of their patient responsibilities. These actions were taken and at the January PPG meeting figures taken from June – December showed an improvement. The Practice will monitor again the DNA’s for the up coming six months.
The third area was Community Groups. This is something that the PPG members thought the Practice patients would appreciate and find very helpful and supportive. We jointly decided that we would highlight two groups to start with these being Carers & Mother & Babies. The Practice has produced notices asking for patients to come forward and register their interest. The groups will be held at lunch times at the Surgeries.
From each PPG meeting a newsletter has been produced and placed on the notice boards in the waiting room and on the Practice website to update the patients and inform them of our progress.
The PPG also looked at the NHS England Patient Survey results for the Practice. The results of this year’s survey were discussed. These discussions included what the Practice was good at and the things that could be improved upon. You can access the full NHS England Patient Survey at https://gp-patient.co.uk
The PPG now has a Chair Person and they have agreed to communicate with the other PPG members by email therefore creating a virtual PPG. For those members of the PPG that do not have access to email the practice has printed off information and sent it to these members.
The PPG members have been asked if they would like to attend the CCG PPG meetings and the PPG have been given information of agencies/groups of interest where they can communicate and explore ideas and gather information.
As part of the Practice understanding of our Patients views & needs the Practice has advertised the results of the Friends & Family Test on the Practice website. The Friends & Family Test has been available to complete in the Surgeries and on line via the Practice Web site and iwantgreatcare.org.
To date January & February 2015 the results for the FFT have been -
To continue with all three of the initiatives from 2014 PPG meetings and monitor results from these actions. We have looked ahead to next year 2015- 2016 and asked for the PPG to put forward joint initiatives for the PPG and the Practice to work together on.
We will use the NHS England Patient Survey to work upon the three items where the Practice has not met the local CCG average these are shown on the table below.
We would like to take this opportunity to thank the members of the PPG who have kindly given up their time to be involved in this way, and also to those of you who were kind enough to take the time to complete the survey questionnaire and the Friends & Family Test.

Action Plan 2014-15
The practice has taken note
48% of respondents with a preferred GP usually get to see or speak to that GP. Local CCG average 59%.
We will ask staff to confirm if patient has a preferred GP and try to accommodate their wishes with a reasonable time scale. We do ensure our Dr’s work as much as possible equally between the two surgeries and feel that the split working maybe why we did not achieve the local average
With immediate effect
77% of respondents say the last GP they saw or spoke to was good at treating them with care and concern. Local CCG average 86%.
We will be following up this comment with our Dr’s to try to understand why some patients did not feel they had been treated with care & concern as you can see from the survey a lot of patients did feel they had been treated well
Discuss at Team & Clinical meeting and try to put into place some training or raise awareness of the patient’s feelings.
72% of respondents say the last GP they saw or spoke to was good at involving them in decisions about their care. Local CCG average 81%.
On reflection a high number of patients felt they had been involved in decision making about their care unfortunately we could have performed better.
Raise point at Clinical and Team Meeting regarding patient’s appropriate involvement in decision making about their care. Training and awareness to be put into place
Summary & Other Comments:
Over the next 12 months we will continue to concentrate on engaging new members to the PPG group. The Practice will monitor the DNA’s and feedback results to the group. The practice will engage with the community Groups if the Practice Patients show active interest. All in all the NHS England National Patient Survey for 2014-15 survey was very successful and reflects that the practice is continuing to offer an excellent services in many areas to their local populations at both surgeries and the Practice will use these results to try to improve the service to our Patients and meet the local CCG average.
